Privacy policy

Last updated: 2 November 2026

This policy explains how Zenoko Management (Pty) Ltd ("Zenoko", "we", "us"), registration number 2011/001985/07, collects, uses and protects personal information in connection with this website and ZenOps, our internal operations and notifications platform. We process personal information in line with the Protection of Personal Information Act, 2013 (POPIA).

Who this applies to

ZenOps is a private system. It is used only by people we have invited, such as family members, staff and contractors connected to Zenoko's operations. This website itself does not use cookies, analytics or tracking, and does not collect personal information from visitors.

Information we collect

  • Account details: name and email address for people with a ZenOps login.
  • Contact details: mobile number, for people who have asked to receive notifications.
  • Messages: the content and timing of WhatsApp messages exchanged with the ZenOps number, including replies used to acknowledge alerts or record information.
  • Operational data: readings and records from the systems we manage (for example energy, water and equipment data). This is generally not personal information.
  • Access logs: which ZenOps pages a signed-in user opens, and when, for security purposes.

How we use it

  • To send alerts, reminders and updates about the systems and administration we manage.
  • To act on replies, such as acknowledging an alert or logging a reading.
  • To control who can see which information in ZenOps, and to keep the platform secure.

We do not sell personal information, use it for advertising, or send marketing messages.

WhatsApp messaging

ZenOps notifications are sent through the WhatsApp Business Platform, operated by Meta Platforms, Inc. and WhatsApp LLC. When you exchange messages with the ZenOps WhatsApp number, those messages are also processed by Meta under its own terms and privacy policy. We only message people who have opted in, usually by messaging the ZenOps number first or asking us to add them.

You can stop receiving WhatsApp notifications at any time by replying STOP, blocking the number, or emailing us.

Who we share it with

We share personal information only with service providers that we need in order to run ZenOps. These are our messaging provider (Meta / WhatsApp), and our database and hosting providers, some of which store data outside South Africa, including in the European Union. They process the information on our behalf and under appropriate safeguards. We may also disclose information where the law requires it.

How long we keep it

We keep contact details for as long as you receive notifications or have a ZenOps account. We keep message and access logs for as long as they are useful for operating and securing the platform, and then delete them.

Your rights and data deletion

You can ask us to tell you what personal information we hold about you, or to correct it. You can also ask us to delete it, or object to how we use it. To ask for deletion, email wayne@zenoko.com from your registered email, or send a WhatsApp message saying "delete my data" to the ZenOps number. We will remove your contact details and messages from ZenOps within 30 days and confirm when this is done.

If you are unhappy with how we have handled your information, you may complain to the Information Regulator (South Africa) at inforegulator.org.za.

Security

ZenOps is access-controlled. Every user signs in, permissions are set per person, and data is encrypted in transit. No system is perfectly secure. We will notify affected people and the Information Regulator of any security compromise, as POPIA requires.
